The Royal Mail is the main postal service in the UK. It comprises the brands of Royal Mail (Letters) and Parcelforce Worldwide (Parcels). It’s responsible for all the mail collection and delivery within the UK and makes deliveries at least once a day except for Sundays and Bank Holidays. The parcel tracking service operated by the Royal Mail is called Track and Trace. Track and Trace allows customers to follow the progress of items either sent by or to them.

The Tracking Process

Parcel tracking works by giving each parcel or letter sent an item reference number. By entering this number online, you can see the status of the item whether, for example, it’s still being processed at the mail centre or is on its way to being delivered to its final destination. The five stages at which your item can be followed are, at the point of despatch, when the parcel enters the Royal Mail processing mail centre, when the item is received at the local mail centre of the recipient, when the parcel arrives at the local delivery office and, finally, when the item arrives at its destination. If this service is used in conjunction with ‘signature on delivery’, you can use track and trace to see a copy of the signature given on receipt of the parcel or letter.

In order to use Track and Trace, it’s necessary to go to the Track and Trace page of the Royal Mail website. Enter your 13 digit reference number into the box provided and the current status of your item will appear. You will be given this item reference number either by the person sending the item to you or if you’re the sender, it will be at the time you hand over the item at the post office or to the Royal Mail courier at your door. The reference number should be on any receipt you’re given and will comprise of two letters at the beginning and the two letters, GB, at the end of the number with nine digits in between. If it hasn’t got GB at the end of the reference number, it means it’s been sent from another country. For Tracking and Signature items, proof of posting is also automatically given by Royal Mail. In addition to using the general Track and Trace Service for sending items within the UK, the following services can also be used for tracking:

  • International Signed tracks your parcel whilst it’s still in the UK and it’s only handed over at its destination when a signature is obtained.

Delivery to Europe using Tracking and Signature services take on average between three and five working days. Worldwide deliveries take between five and seven working days. The additional Signature on Delivery service means just that. A signature is taken at the point an item is successfully delivered.

Royal Mail (Letters) and Parcelforce Worldwide (Parcels) base their pricing structure on an item’s weight, its destination and how quickly you’d like it to be sent. So, for example, if you’re wanting an item tracked and it weighs under 100g, if it’s being delivered within the UK with guaranteed delivery before 1pm the next day, it would cost you £6.40. If on the other hand, you’re sending a package to Australia which weighs up to 30kg and you’d like it delivered within four days, with tracking it would cost you £64.08. For the UK or overseas, the exact price charged depends upon these different factors. To simplify matters, the Royal Mail has a handy price calculator on its website. All you have to do is put in the required information and at the end of the calculation and it will give you the correct price you have to pay.

For all deliveries home and abroad, the Royal Mail has four different areas, or price bands if you like, for calculating how much an item will cost to a particular destination. Different areas have different prices with, generally, the further away a destination is, the more it will cost to send an item there. These four Royal Mail posting areas are The UK, Europe, World Zone 1 and World Zone 2. World Zone 1 mostly covers the areas of North America, South America, Africa, the Middle East, the Far East and South East Asia. Zone 2 mainly covers areas in the Pacific such as the many small Pacific Islands although it also comprises Australia and New Zealand.
